AGENCY MANAGEMENT SYSTEM QUESTIONS

General Questions

Do I need to make any configuration changes to my agency management system in order to correctly process CNA Downloads?

Yes. You're system will need to be configured for CNA Download. Depending on which system you have this configuration could include activating CNA Companies for Download or Interface, determining which lines of business or transactions you will accept. More detailed configuration information may be obtained by clicking here.

What about company unique coverages? Don't I need to enter those into my system as well?

You only need to enter coverage codes for Policy Transaction Download. They are not needed for Direct Bill Download. In most cases these coverages will have been pre-populated into your system by your vendor. If not, first check with your vendor to determine if this is an option. If this is not an option, then you may need to enter these coverages codes, along with their descriptions manually. A full list of CNA Coverages included in download is available by clicking here.

How do I use IVANS Transfer Manager .Net

CNA users IVANS Transfer Manager .Net version in our download process. This online version also provides a self-service solution for agents to quickly and easily search for and resend the most current individual download policies, eliminating the need for requesting the information from CNA's Agency Help Desk.

With just a click of a button from either the IVANS e-Commerce Server (ECS) or within your agency management system, your download file is immediately placed in your IVANS mailbox.

POLICY TRANSACTION DOWNLOAD - DATA QUESTIONS

Why is Additional Interest information not included in all the downloaded policies?

CNA will include Additional Interest information with downloaded policies when the data is available. However, CNA does not always capture this data and therefore does not always include Additional Interest information as part of its download for the following reasons:

  • Coverage for lessors, loss payees, and additional named insureds is being provided on a blanket basis. As a result, detailed additional interest information is not always captured in our processing systems and may not be included in a download. All requests, either electronic or manual, are filed and maintained with the policy as part of the CNA internal record.
  • Since January 1, 2000, CNA has provided broader automatic lessor, loss payee, and additional named insured coverage on a blanket basis on our Commercial Automobile policy. This holds also for the Property, General Liability, and Inland Marine coverage parts of our Tailored Commercial Package Policy (TCPP) and Business Account Package Policy (BAPP).

Why do some coverages on the supplemental page / notepad not have a limit associated with them?

Where this is the case, these are automatically included coverages on the policy whose limits are included as part of a Policy Limit.

I received both a "Cancellation" transaction and a "Reinstatement" transaction for the same policy, but my agency management system processed them in the wrong order. What happened?

Because of the nature of download, all transactions processed for a policy after a previous nightly download are downloaded at once. Depending on the agency management system and the "Effective Date" of the transactions, these transactions may or may not be processed by your system in the correct chronological order.

Why does CNA Package Policy Download which additional lines of business (i.e. EDP / B&M / CRIME / UMBRELLA) only download the Property and GL portions?

Agency Management systems are currently unable to download these additional lines of business as part of a package policy. As the vendors enable these additional lines of business for download CNA will enable these lines as well

Is Massachusetts Commercial Automobile downloaded by CNA?

No. CNA does not currently download any Massachusetts Automobile information.

AFW Questions

Why does the Effective Date of the policy download to the ACORD #125 but not to the Line of Business ACORD forms?

This is a known problem AMS is working to resolve.

The correct Property Damage deductible shows up on printed applications but not on the AFW screens. Why?

This is a known problem AMS is working to resolve.

Sagitta Questions

Policy premium displays in my company mailbox, but it is not downloaded to my Premium screens. Why?

This information must be entered manually because Sagitta does not download total premium to its database. AMS Services offers an upgrade to Sagitta which can be used to captured premium data from the download for accounting purposes

Applied Wintam Questions

Why is the Named Insured truncated?

Wintam will only display 30 characters for the Insured Name field. Therefore, any Insured Name on a policy longer than 30 characters will be truncated.

LINE OF BUSINESS DATA QUESTIONS

BAPP / CNA Connect

We've entered CNA BAPP / CNA Connect policies as Package policies in our system but they still download as BAPP's. Why can't I download these policies as Package policies?

CNA's mapped these policy types for download using the Acord BOP Download standard. BOP and Package policies use different Acord standards which are not easily interchanged for download. A future enhancement to CNA's download to offer agents the choice of how to download these policies is being considered.

Auto

Why were all the vehicles on my Auto policy renumbered?

When an Auto transaction is downloaded, your agency management system will try to match the vehicles in the downloaded policy to the existing vehicles listed in the policy on the agency management system. This occurs in order to determine if any vehicles have been added or deleted to the policy through a change request.

If the vehicle information in your management system is not an exact match to the downloaded information, the agency management system assumes that a change request occurred. Existing vehicle information is dated off and the new downloaded vehicle is added.

Some agency management systems will re-number the vehicles sequentially when this occurs. Others will just insert the added vehicle into the first available vehicle number. To avoid vehicle re-numbering, complete and accurate VINs, descriptions and vehicle makes should always be entered in the management system.

Workers' Compensation

Why does the Named Insured always download in ALL CAPS?

Due to a limitation in CNA's Workers Compensation systems this data can only be stored using capital letters. As a result, this information downloads in this way.

Umbrella

I'm an Applied agent, why can't I download Commercial umbrella policies?

Applied systems do not currently support Umbrella download. Applied is currently working to enhance their systems to support download of this additional line of business.

Medical Expense and Fire Damage limits are not downloading for the General Liability (GL) underlying coverage section. Why?

CNA does not maintain limits for these coverages and so they are not captured on Umbrella policies.

Package

Which lines of business on a Package policy can I download with CNA?

Due to limitations in the Agency Management Systems CNA Package policies only include the Property and General Liability lines of business and any coverages written under those lines. CNA is currently working with AMS Systems to add the Inland Marine Line of business to its package policy download. AMS Agents will need to upgrade to the latest version of their agency management system to receive this benefit.

Why does CNA download a Package policy when the endorsements made on the policy only affect crime and inland marine coverages?

CNA does not download Crime and Inland policies, so the downloaded policy that comes to your system will include only package information. CNA is working to deliver download for these lines of business. Until this is available, your Package policy will download without the Crime or Inland Marine updates. We will communicate to you when these new policy types are available for download.

Property

What does the number under Construction Type mean?

CNA uses the ISO standard construction type number for this field. The current AL3 standard only allows us to download one character in this field, so we can't download the description. Please refer to the ISO Construction Codes at the end of this document for a list of these codes.

General Liability

The locations numbers on my GL policy are not the same as those on my Property. What happened?

When the location numbers between lines of business on a Package policy are the same, only the first line of business will retain the actual location numbers downloaded. All other locations will be renumbered. For example, a Package policy with Property locations 1, 2, 3, 4 and GL locations 1, 2, 3, will be translated into Property locations 1, 2, 3, 4 and GL locations 5, 6, 7. This is due to agency management system limitations with having the same location number between lines of business.
